Transparent Care, Tailored to You: Insurance & Payment Policy
Insurance & Payment Policy
We’re excited to welcome new clients into our practice. Our initial functional medicine and holistic wellness assessments are offered as cash-pay services, with the possibility of insurance billing once an ongoing relationship is established. We also proudly accept certain insurance plans to make integrative and functional medicine more accessible.
Much of what we do—including in-depth assessments, customized protocols, holistic coaching, supplement planning, meal design, exercise guidance, and advanced lab interpretation—goes beyond the scope of standard nutrition care and is often not covered by insurance. These services are essential for addressing root causes and creating lasting change.
We invest significant time, thought, and clinical insight into every client’s plan. True healing requires commitment and partnership. While we value the role of insurance, its limitations mean we cannot provide the level of care our clients deserve without some direct investment from you.
Here’s what to expect:
✓ The Integrative Foundational Assessment is billed directly to the client.
✓ Ongoing nutrition counseling and follow-up sessions may be eligible for insurance reimbursement, depending on coverage.
✓ If we’re out of network, we’ll provide a superbill to help you request reimbursement.
We’re committed to supporting you with clarity and compassion every step of the way, making your investment in health both clear and worthwhile.

Health Insurance for Nutrition Services
Have you checked to see if nutrition services are covered by your health insurance?
Many insurance companies cover nutrition counseling sessions performed by a registered dietitian. Coverage may vary depending on your plan. Whole Lifecycle Nutrition is an in-network provider for the following insurance companies: Aetna, Blue Cross Blue Shield, Cigna, Harvard Pilgrim Health Care, Mass General Brigham, Wellpoint, and United Healthcare.
How to find out if you are covered?
You can start by calling the customer service number on your card.
When calling your insurance company, make sure to ask:
✓ Do I need a referral or order from my primary care physician?
✓ Is my diagnosis covered?
✓ How many visits are covered?
✓ Will I have a copay?
✓ Have I met my deductible?
Other notes on insurance coverage:
Sometimes the insurance company will ask you to provide them with CPT or ICD-10 diagnosis codes. The CPT codes are 97802 and 97803. The ICD-10 diagnosis codes are unique to your health condition. If requested, provide the ICD-10 codes of Z71.3 and Z72.4 which are preventative diagnoses. You may also be covered under a different ICD-10 diagnosis. Health conditions that commonly have nutritional services covered by health insurance include overweight, obesity, pre-diabetes, diabetes, high cholesterol, and hypertension.
Note that coverage for pediatric and adult patients may be different, even if you are on the same family plan. Make sure to ask the insurance company to explain nutrition services benefits for each individual in your family seeking care.
Some insurance companies will reimburse you directly for fees paid to out-of-network providers. If this is the case, we can provide you with the necessary paperwork to submit to your insurance company.
Whole Lifecycle Nutrition also accepts health savings accounts (HSA), flex spending accounts (FSA), cash, and credit. All payments are made through our secure patient portal.
